Posted by Michelle Clark on Aug. 1, 2023 / Subscribe 3
We are in the process of creating an all new Chart of Accounts for the coming budget year to more fully align our Funds and Departments. Has anyone done this recently and if so, would you be willing to share your experience? Thank You!!

I created a new chart of accounts last year prior to a software conversion from Springbrook to Caselle and a few things I learned or recommend. 1. Make the conversion happen at the end of a quarter or at the end of the month. Makes reconciliation and reporting so much easier. 2. Give each number a meaning. We went from 16-digit account codes to 7-digit account codes and this really helped staff pick the correct account codes for POs. Also, each number having a purpose also helps staff identify the account code that is scribbled on an invoice. 3. Be consistent with your objects. It is really nice to be able to pull all payroll expenses for all departments by looking only at the object of the account code. Same with travel, training, etc. Our old account codes did not have this consistency, I had assumed it was standard practice. I am more than happy to send our COA over if you'd like to review them, good luck!

We are currently migrating to Caselle from Black Mountain Software and are taking the time to completely redesign our chart of accounts in Gunnison. We've got that completed and would be happy to share ours if you'd like. Please reach out at [email protected].
